Privacy Statement
Protection of personal information

This Privacy Statement describes our basic concepts and guidelines for handling all personal information that we collect and use.
N-Asset TOKYO Co, Ltd. will make every effort in good faith to manage and maintain the personal information of its customers while fully understanding that it is our social responsibility to respect and comply with any and all applicable laws related to the protection of personal information as well as the integrity of the society and to appropriately handle personal information so that the privacy of our customers is well protected.

  1. Purposes for which personal information is used

    N-Asset TOKYO Co, Ltd. will use the personal information of its customers that is directly submitted to us in writing (via whatever form including, but not limited to, paper documents, online application forms or by e-mail, etc.) or replied or declared to us by customers through non-written forms (by orally, etc.) solely for the following purposes and to the following extent.
    We further ensure that any other personal information that we directly (via our own surveys) or indirectly obtain related to real estate property, lessees or neighborhoods in the course of reviewing or performing a new contract or transaction shall also be used only for the following purposes and to the extent that is necessary.
    * However, please note that the purpose of any use of personal information that is entrusted to us by a third party and that is obtained by us through a business merger, separation or succession of a business, or that is provided by our business partner who is authorized to share the information with us shall be subject to the purpose of use as separately determined by the first-time acquirer.

    <Purposes of Use >
    • (1) To offer proposals regarding the products and services provided by our businesses (See below, including any new businesses, products and services in which we will be engaged in the future. The same shall apply hereinafter.) and to perform transaction contracts and to provide relevant information and services;
    • (2) To provide customers who have concluded a contract between us with after-sales maintenance, information and services;
    • (3) To ensure the appropriate and necessary notification to customers in response to any inquiry, offer or order to purchase or a booking as well as in the course of performing the contract and providing information services related to our businesses;
    • (4) To conduct sales activities to offer our businesses, products, information, and services (sales visits, dispatch of direct mail, sales calls or on-line sales solicitations, etc.) and related marketing activities (requests in response to questionnaires, etc.);
    • (5) To conduct customer trends analyses or product development surveys related to our businesses;
    • (6) To send a reminder or warning notice to and confirm the address or the whereabouts of a customer who has defaulted with regard to payment of the amount due under the contract;
    • (7) To respond to and provide applicants with the necessary information and services with respect to our recruitment activities or sponsored or co-sponsored events;
    • (8) To send IR information, seasonal greetings or gifts;
    • (9) To provide our business partners with the necessary information related to our businesses to the extent permitted by the laws;
    • (10) To perform verification work according to the audit requirements, to perform the shareholders’ rights and obligations and to provide information and services; or
    • (11) To provided a third party with the personal information to the extent that this is required to attain the purposes mentioned from (1) through (10) above.

    N-Asset TOKYO Co, Ltd. is engaged in the following businesses including, but not limited to, businesses related to real estate and the provision and sale of products, information and services related to residence or daily life, as well as insurance products, financial products, etc.

    • 1. The leasing, management and operation of real estate property including, but not limited to, apartments, condominiums, buildings, etc., and consulting services related to these;
    • 2. Purchase, sale or brokerage of real estate property and related consulting services;
    • 3. Planning, design, implementation, management, subcontracting, consulting and referral related to construction and/or civil works;
    • 4. Non-life insurance agency services and insurance brokerage based on the Automobile Liability Security Law;
    • 5. Development and site preparation of land for residences, vacation houses or buildings;
    • 6. The remodeling and cleaning of houses, shops, commercial facilities or offices;
    • 7. Coordination of interior renovations;
    • 8. Maintenance, cleaning and management of parking lots;
    • 9. Preparation of advertising materials and the planning and management of events and seminars;
    • 10. Planning, design and implementation of interior or exterior work and equipment work for buildings and related consulting services;
    • 11. Agency or brokerage businesses relating to items 6, 7 and 10 above;
    • 12. Sales of construction materials, furniture, home appliances, interior goods, heating and cooling equipment, plumbing equipment, and agency and brokerage businesses related to these;
    • 13. Business related to solicitations for life insurance contract; and
    • 14. Any and all businesses incidental to each of the foregoing.
  2. Provision of information to a third party

    In addition to cases permitted by the applicable laws, the personal information of customers may be provided to a third party to the extent necessary to attain the purpose of use as mentioned above. If requested by customers, the provision of such personal information shall be suspended. Please contact us at the contact details as mentioned in Section 3 of this Privacy Statement if you request us to suspend the provision of your personal information to any third party.

    <Examples of the provision of personal information to a third party >

    Personal information provided by customers may also be provided to

    • 1) Owners of property that the customer will rent or has rented or any agent or representative thereof;
    • 2) Assignees or prospective assignees of the property that the customer will rent or has rented;
    • 3) Providers of services (e.g. work and construction) related to the property that the customer will rent or has rented;
    • 4) Management company of the property that the customer will rent or has rented;
    • 5) Counterparties or prospective counterparties of a lease contract or an intermediary contract for the purchase and sale of real estate property;
    • 6) Any other real estate agents;
    • 7) Online-advertisement companies or real estate business associations;
    • 8) Designated Real Estate Distribution Organizations (with which we register our real estate properties and provide the completed contract information, and based on whose data, we conduct our sales activities and price assessments) *;
    • 9) Financial institutions or guaranty companies related to the financing of the real estate transactions;
    • 10) Judicial scriveners or real-estate surveyors related to the registration of the real estate transactions;
    • 11) Property management companies related to the real estate transactions;
    • 12) Moving companies, electricity, gas or water suppliers related to the contract;
    • 13) Companies (including subcontractors) in charge of design and execution, or any other cooperative companies related to the contract;
    • 14) Production companies or advertising companies who produce the advertisement leaflets and sales pamphlets; and
    • 15) (Life or Accident) Insurance companies related to the real estate transactions.

    * Regarding matters involving Designated Real Estate Distribution Organizations
    Designated Real Estate Distribution Organizations ("Organizations ") are public interest corporations designated by the Minister of Land, Infrastructure and Transport in accordance with Article 50.3 of the Building Lots and Buildings Transaction Business Law (the "Law "). They are engaged in the following activities specified under the Law:

    • 1. Registration of building lots or buildings that are the object of exclusive brokerage contract (sennin baikai keiyaku) or other contracts related to real estate business activities
    • 2. Provision of information on building lots or buildings registered in accordance with the preceding paragraph to real estate agents at periodic intervals or at the request of real estate agents
    • 3. In addition to the operations set forth in Paragraphs 1 and 2 above, the preparation of statistics on information described in the preceding paragraph and other operations necessary to ensure proper transactions and the smooth distribution of registered building lots and buildings

    N-Asset TOKYO Co, Ltd. will take the following measures in accordance with provisions under the Law concerning these Organizations.

    • (1) When a brokerage contract has been concluded with a customer to sell a real estate property, the information related to such property information will be registered with any of these Organizations to find prospective buyers. The registered property information and other information, including the name, address, etc., of the prospective seller will be provided to any member company of these Organizations and to prospective buyers.
    • (2) When a contract regarding the registered real estate property has been completed, the contract date, sale price, etc., will be reported to the Organizations.
    • (3) The Organizations shall use the property information and completed contract information (including an overview of the real estate property, contract date, sale price, etc., but excluding the names of the seller and buyer) for the operations of the Organizations as specified in the Law. Such operations include the provision of property information and completed contract information in electronic or other formats to member companies of the Organizations and to public institutions.
    • (4) In the case of exclusive brokerage contract (sennin baikai keiyaku) and privileged and exclusive brokerage contract (senzoku sennin baikai kaiyaku), the preceding information will be registered or reported to the Organizations in accordance with the provisions of the Law.
    • (5) A prospective buyer or an individual who becomes the buyer will purchase the registered real estate property according to the procedures specified under (1) through (4) above concerning the Organizations.
    • (6) When engaged in business activities to purchase real estate property registered with the Organizations, we provide the prospective buyers with the property information, and provide real estate agents assigned to sell the property and the individual wishing to sell the property with the name, address, etc., of prospective buyers. If requested by the customer, we will refrain from the provision of the information as prescribed in Section 2 “Provision of information to a third party” with respect to this Privacy Statement.
    • (7) We will provide customers with complete contract information (excluding the names of the sellers and buyers) provided by the Organizations or other completed contract information obtained from transactions that we are engaged in as a basis for the price or appraised value of the real estate property requested to be sold. In such cases, we will provide the information in a manner that makes it difficult to identify the property under completed contract. If requested by the customer, we will refrain from the provision of information as prescribed in Section 2 “Provision of information to a third party” of this Privacy Statement.
    <Items of personal information to be provided >

    Name, address, telephone number, mail address and family information of the customer, contents of the contract, information of the real estate property, transaction history or any other information necessary for the purpose of use mentioned above.

    <Means to provide personal information to a third party >

    Personal information is provided orally or in writing, via mail, courier, telephone, Internet, e-mail, advertisement media, etc.
